Insertion From the Minutes View

MOVING ROWS

Select one row or a set (nested or not, full or not, collapsed or not).

Right-click and select Data Handling>Move selected rows to the Database of the Estimate. Alternative: Data>Databases>Database of the Estimate.

Give a name of set/article. This creates a source in the database and the selection becomes an instance hereof. The name is used as Article name and index name automatically.

If the set selected rows are also grouped, the grouping is retained in the database. Therefore the grouping shows at reuse.

Any formula for quantity in a nested set is automatically removed in the target.

 

MOVING A WHOLE TASK

Select one row or a set  (nested or not, full or not, collapsed or not).

Right-click and select Data Handling>Move whole task / selected rows to the Database of the Estimate. Alternative: Data>Databases>Database of the Estimate.

Give a name of set/article. This creates a source in the database and the selection becomes an instance hereof. The name is used as Article name and index name automatically. (The task name is not pushed to the database.)

 

Return: press F4.

If some rows are missing, click View>Show>Check & Repaint.

 

Insertion From a Database

INSERTION THROUGH DRAG & DROP

Drag and drop an article/set into the database of the estimate; this inserts a blue row where both columns Reference and Reference to article are filled with the article/set reference:

INSERTION THROUGH REFERENCE IN PREFERENTIAL DATABASE(S)

You get the same result by a call to a preferential database and input of the reference into a row (Data>Databases>Insert Reference, refer to How to Insert an Article or a Set Using its Reference or Descript). The call is implicit if the estimate has one preferential database.

In addition, the insertion by reference allows you to define an article in a predefined set; this article adds to the database of the estimate, if it was not already there.

 

Links:

- To update the database of the estimate after a change in a row of the source database, right-click it and select Data Handling>Update row(s) → database (alternative: menu Data>Bases).

- To update the source database after a change in a row of the database of the estimate, right-click it and select Data Handling>Update row(s) estimate (alternative: menu Data>Bases); in the dialog box, check the 'Apply to entire estimate' box.

- To delete the link of a row to the source article while keeping the data (except the Task in Gantt), press Del in the 'Reference to article' column (Alternative: right-click and select Disconnect from database of estimate>Selected rows only); this deletes the 'Reference to article' cell and the fields get free for editing. A change in the source database is NOT reflected anymore. All the underlying rows are disconnected as well; to disconnect ONLY the top row, delete the reference to the article or set in this row.

 

Notes:

- an article can be inserted into a set of minutes already created in the database of the estimate

- the articles of a set of articles do not show

- the formulas described in How to Empower the Minutes with Quantity Calculation Capabilities are not retained.

 

Caveat:

When a set is disconnected from the database of the estimate by deleting the reference in the minutes view and this set has references to other sets, it may happen that the result is not correct. In this case the set depth of some rows may be wrong.

 

Insertion and Recording At One Time

The database of the estimate can be configured as an attractor for used articles and sets. This is referred to as "centralized storage".

PREREQUISITES

Source database: in Edit mode, check the item Database>Behavior>Centralized storage in estimates.

Estimate: check the box File>Options>Editing>Automatic centralized storage of articles/sets in database of the estimate.

 

INSERTION THROUGH DRAG & DROP

Insert an article/set as usually into the Minutes view; it shows therein and in the database of the estimate (a repository of articles and sets) with a link between the rows:

In the database of the estimate, both columns Reference and Article name are filled with the article/set reference; a set row shows shaded with a description in bold typeface.

In the Minutes view, the color of a set of articles is grayed blue (instead of plain blue).

NOTE If you repeat one of these four modalities, the row repeats in the database of the estimate, but is not updated in event of editing.
